This guide outlines the user settings within NJDOT’s AASHTOWare Safety instance for admin users to manage accounts, security settings, and roles and permissions.

Settings
Sign into your state’s instance of the software.

Click “Crash Query” in the top left corner to open the application menu. Navigate to “Settings” from within this menu.
Settings - Users
Under “Organization” in the left menu, select “Users.”
Users Tab
Admins can manage users in the “User Tab,” including:
Lock/unlock accounts
Set Future Lockout date
Edit Roles & Permissions
Remove Users
Inviting New Users
To invite a new user, click the “+ Invite New User” button at the far right of the Users Tab screen.
Input the email address(es) of the user(s) who need access. Choose an existing role or custom role. If a user has already been invited or signed up for an account, trying to add that user again will cause the invite to fail.
Existing User Roles
Existing User Roles can be created by admins to group multiple users under one standard set of permissions. The following Existing Roles have been configured for New Jersey DOT. These can be edited at any time by an admin user.
Custom Role
If user accounts are set up with a custom role, admins must customize the permissions and choose which applications the new user will and won’t have access to.
Default Filter
The Default Filter option allows admins to filter the data accessible to a user’s account in Crash Query. This can be done for users in a custom role or an existing role. A user with default filters added to their account will not see these filters in the filter bar; instead, the only data they can see will meet the default filter criteria. This functionality is not supported in applications outside Crash Query; users with a Default Filter added to their account should not have access to applications other than Crash Query.

Password Requirements
Users must meet the following requirements for their password:
Must be 9 to 100 characters
Contain BOTH uppercase and lowercase letters
Contain at least 1 number
Contain at least 1 special character (! @ # $ % & etc.)
Data Management
Here, admins can set the level of access a user has to data management.
Typically, for standard users, admins should not grant edit access to this section.
Features
Here, admins can toggle on/off certain features within the application.
Typically, for standard users, admins should ignore this menu when creating new users. If you need help, contact a member of the Numetric support team.
Set Future Lock Out
Admins can set a future lockout date for users, either when initially inviting a new user or later in the “User Tab” for existing users.
The “Set Future Lock Out” option is at the bottom of the Role & Permissions fly-out menu.
NOTE: Invite requests expire after 14 days and can be resent within the “Invitations” tab under User Settings.
Roles Tab
Admins can manage existing roles in the “Roles” tab, including:
Creating a new role
Editing an existing role
Adding a user to a different role
Viewing the number of current users/invited users within each role
Invitations Tab
Admins can manage existing user invitations in the “Invitations” tab, including:
Viewing the pending invitations
Resending an expired invitation
Admin Quick Reference - Common User Issues:
Locked Account
Navigate to “Users” under “Settings” and find the user. Select the three dots on the far right next to their name and select “Unlock.”
Forgot Password
Inform the user to navigate to the login page and select “Forgot Password,” or enter their email here and select “Forgot Password” to send them a password reset link.
Invite Expired
Invitation requests expire after 14 days. You can check current user invitations under the “Invitations” tab within User Settings. Invitations can be resent from there.
Settings - Security
In the “Security” settings, admins can manage:
Sign-in requirements
New password cadence
Lockout/password contact
Lockout rules
Password history rules
Alerts (subscribe to user event alerts)
Sharing Groups
In the “Sharing Groups” setting, admins can create User Groups that will appear as options for sharing queries.
